Gaschem Rhone – Shipyard Agency and Husbandry Support in Batam

Gaschem Rhone, a Portugal-flagged gas tanker managed by Hartmann Gas Carriers Germany, arrived in Batam on 26 August 2026 for a shipyard period at PaxOcean Batam.

Batam Shipping Agency, operated by PT. Bisa Jasa Segara, was appointed as the vessel’s local agent to coordinate port formalities, shipyard-related agency matters, Owners’ representatives, specialist technicians, crew requirements and departure arrangements throughout her stay in Batam.

The appointment also marked the continuation of an established relationship.

In 2022, Batam Shipping Agency had supported Gaschem Rhone’s sister vessel, Gaschem Mosel, during her docking period in Batam. Four years later, following the good cooperation established during that project, Hartmann Gas Carriers once again entrusted our team with its vessel in Batam.

Gaschem Rhone remained under our agency support until her departure for Singapore on 7 September 2026.

Preparing Before the Vessel Arrived

Agency work for a shipyard call begins well before the vessel reaches Batam.

Our team coordinated directly with the Master to collect and review vessel certificates, crew documentation, pre-arrival declarations and other documents required for Indonesian port formalities.

Preparation also included the vessel’s PKKA formalities, inward clearance requirements and continuous monitoring of her arrival schedule.

As Gaschem Rhone proceeded toward Batam, her ETA continued to develop based on operations at previous ports. Batam Shipping Agency maintained communication with the vessel and coordinated the latest schedule with PaxOcean so that local preparations could be adjusted accordingly.

Supporting the Owners’ Representatives

The docking project was attended by three representatives from the Owners’ side:

• Mr. Dennis Brandt

Batam Shipping Agency arranged their Indonesian visa applications before their journey to Batam.

Following approval of the visas, our team continued supporting the necessary local transportation and logistical arrangements during their attendance at the shipyard.

For a shipyard project involving overseas superintendents, early immigration preparation is important to ensure that the Owners’ representatives can be on site when required.

Specialist Technician Attendance

Specialist technicians from NDT Veritas / ERAS were also scheduled to attend Gaschem Rhone during the shipyard period.

Batam Shipping Agency coordinated their arrival arrangements, immigration-related documentation, Singapore–Batam ferry connection, hotel accommodation, local transportation and transfer to the vessel.

Our support continued throughout the technician’s attendance in Batam and through his departure, including transportation from the vessel to the Batam ferry terminal for his onward journey through Singapore.

Shipyard projects frequently involve technicians, surveyors and service engineers travelling from different countries at short notice. Their movements therefore need to remain aligned with the vessel’s changing docking schedule.

Supporting the Vessel During the Shipyard Period

Throughout Gaschem Rhone’s stay at PaxOcean, Batam Shipping Agency remained the local coordination point between the vessel, Owners’ representatives, shipyard and other parties involved in the project.

The vessel entered dry dock during the shipyard period, while the final undocking and departure schedule continued to depend on the progress of the work.

On 2 September 2026, our team arranged shore passes for the vessel’s entire crew through Indonesian Immigration, allowing crew members to go ashore during the vessel’s stay in Batam, whether for personal needs, shore leave or other permitted purposes.

At the same time, our operational team continued monitoring the docking schedule, documentation status and requirements for the vessel’s eventual departure.

Customs and Shipyard Documentation

The project also required coordination of documents related to the shipyard work and Indonesian customs formalities.

Batam Shipping Agency coordinated directly with PaxOcean for supporting documents required for the relevant PEB documentation, including the commercial invoice, packing list, docking report, Power of Attorney and Work Done Report.

Our operations team followed up with the shipyard as the documentation became available so that the required customs-related formalities could proceed together with the vessel’s departure preparations.

Preparing Gaschem Rhone for Departure

As the docking period approached completion, the focus shifted from shipyard attendance to sailing readiness.

The vessel’s next port was confirmed as Singapore, allowing the required departure PKKA and outward clearance preparations to proceed.

The exact undocking schedule remained subject to confirmation by the shipyard. Batam Shipping Agency therefore continued coordinating with the vessel and relevant parties while preparing the necessary departure formalities around the developing schedule.

After completing her shipyard period in Batam, Gaschem Rhone departed Batam on 7 September 2026 and proceeded to Singapore.

A vessel’s shipyard period involves considerably more than arrival and departure clearance.

Owners’ representatives need to travel to the yard. Technicians and service providers may arrive from different countries. Crew access must be arranged. Shipyard schedules can change. Customs and port documentation must remain aligned with the actual progress of the vessel.
